Terms and Conditions

1. General Information

These Terms and Conditions govern the registration and participation in the CEFCA Meeting 2026 — Understanding the Universe Through Large Scale Astronomical Surveys, organised by the Fundación Centro de Estudios de Física del Cosmos de Aragón (CEFCA), to be held in Teruel, Spain, from October 5 to 9, 2026.

By completing the registration process, participants expressly accept these Terms and Conditions in their entirety.

2. Registration

Registration for the conference and/or the conference dinner must be completed online through the official registration forms available at cefcameeting.com.

Registration is only considered confirmed once full payment has been successfully processed. A confirmation email will be sent to the email address provided upon successful payment.

Participants are responsible for ensuring that all information provided during registration is accurate and complete. CEFCA accepts no liability for errors resulting from inaccurate information provided by the participant.

3. Registration Fees

The following registration fees apply:

• General Registration: 400 €
• Reduced Registration (2-day pass): 200 €
• Conference Dinner: 60 € per person

All prices include VAT where applicable. Payment must be made by credit or debit card through the Redsys secure payment gateway.

4. Cancellation and Refund Policy

Cancellation requests must be submitted in writing to registration@cefcameeting.com. The following cancellation policy applies:

• Cancellations received before August 31, 2026: full refund minus a 20 € administrative fee
• Cancellations received between September 1 and September 30, 2026: 50% refund
• Cancellations received after October 1, 2026: no refund

Refunds will be processed to the original payment method within 14 business days of the cancellation confirmation.

5. Substitutions

Registered participants who are unable to attend may transfer their registration to a colleague by notifying CEFCA in writing at registration@cefcameeting.com no later than September 30, 2026, providing the full name and contact details of the substitute participant.

6. Programme Changes

CEFCA reserves the right to modify the conference programme, including speakers, sessions, dates, venue, and format, at any time and without prior notice, due to circumstances beyond its control. In the event of significant changes, registered participants will be informed as soon as possible.

CEFCA shall not be liable for any costs or damages incurred by participants as a result of programme modifications, including travel or accommodation expenses.

7. Event Cancellation by the Organiser

In the unlikely event that the conference is cancelled by CEFCA due to force majeure or other exceptional circumstances, registered participants will be notified promptly and offered a full refund of their registration fee. CEFCA shall not be liable for any additional costs incurred by participants, including travel, accommodation or visa expenses.

8. Liability

Participation in the CEFCA Meeting 2026 is at the participant’s own risk. CEFCA, its staff, and collaborators accept no liability for personal injury, loss, theft, or damage to property during the event or related activities.

Participants are responsible for arranging their own travel, accommodation, and insurance coverage.

9. Photography and Recording

CEFCA may take photographs and/or video recordings during the event for documentation, promotional, and scientific dissemination purposes. By registering, participants consent to their image being captured and used in this context. Participants who do not wish to be photographed or recorded should notify the organisation at registration@cefcameeting.com.

10. Data Protection

Personal data collected during the registration process will be processed in accordance with our Privacy Policy, in compliance with the General Data Protection Regulation (GDPR) and applicable Spanish data protection legislation.

11. Governing Law and Jurisdiction

These Terms and Conditions are governed by Spanish law. Any disputes arising from or related to these Terms and Conditions shall be subject to the exclusive jurisdiction of the courts of Teruel, Spain.
